Connect Workday
Build the custom report wrkflow reads, share it with an integration user, and map its columns to attributes.
On the Team plan and above, an admin connects Workday so Contacts and groups stay in step with it, hourly or daily. wrkflow reads an advanced custom report that Workday exposes as a web service. What a sync does is in Sync contacts from your HR system; it never deletes contacts or responses.
What you need from Workday
- Create an advanced custom report with Enable As Web Service turned on. Include columns for the employee id, work email, name, an active status and the fields you want to map, such as department. Include terminated workers, so people who leave are taken out of the synced groups.
- Share the report with an integration system user, in a security group that is allowed to run it.
- Copy the report’s JSON URL from View URLs. It lives on workday.com or myworkday.com.
wrkflow only reads the report and never writes. It uses the integration user’s name and password read-only, encrypts them before storing them, and never shows them again.
Set up
- Open Integrations, then Workday, and choose Connect Workday. Paste the report URL and the integration user’s credentials, then Test connection.
- Name the report’s id, email, name, status and department columns, then map the rest to your attributes.
- Choose how often to sync, hourly or daily, then Connect and Sync now. Check the people added in Sync history.
If something goes wrong
- The report URL must be on workday.com or myworkday.com: copy the JSON URL from the report’s View URLs.
- Workday answered 404: the report was renamed or isn’t shared as a web service. Copy its URL again.
- Workday refused the credentials (401): check the integration system user’s password and that its security group may run the report.
- HR sync isn’t set up on this server: whoever runs wrkflow sets HR_SYNC_ENCRYPTION_KEY.
