Save responses to OneDrive and SharePoint

Connect a Microsoft 365 account so each response is saved as a PDF and a row in an Excel workbook.

On the Team plan and above, an admin connects one Microsoft account for the organization. Each survey then chooses a OneDrive or SharePoint folder, and each response is saved there as a PDF and added as a row to an Excel table, as the survey chooses. Files respondents uploaded go into an Uploaded files folder beside them.

Before you start

  • A work or school Microsoft account that can edit the folder where responses should go. wrkflow acts as that person, so it can only reach folders they can edit.
  • The Team plan or higher, and the Microsoft integration set up on this server. If the page says Not configured on this server, whoever runs wrkflow needs to register it first.
  • Some Microsoft 365 tenants only allow apps an administrator has approved. If yours does, a Global or Cloud Application Administrator grants consent first: in Entra, Enterprise applications, wrkflow, Permissions, Grant admin consent.

wrkflow asks Microsoft for these delegated permissions: offline_access, openid, profile, email, User.Read, Files.ReadWrite.All and Sites.ReadWrite.All.

Set up

  1. Open Integrations, then Microsoft 365, and choose Connect Microsoft 365. Sign in with the account wrkflow should write as, and accept the permissions.
  2. Open a survey’s Settings and find Save responses. Choose a folder in OneDrive or SharePoint.
  3. Check that the destination is on. Each survey turns its own destination on.
  4. Submit a test response and check that the PDF and the workbook row appear. Recent activity on the Microsoft 365 page lists each delivery.

Test connection on the Microsoft 365 page refreshes access and asks Microsoft who the connected account is. It writes nothing.

What leaves wrkflow

  • Each survey chooses what to save: the PDF, the spreadsheet row, and uploaded files. Only new responses are sent unless you tick Also send the responses already collected when you turn the destination on.
  • Answers to sensitive questions are withheld and read “Hidden: sensitive”. Personal data in written answers, such as email addresses and phone numbers, is always masked.
  • Named surveys include the participant’s details and attributes, as an export does.
  • Anonymous surveys send no names, details, hidden fields or file names, and only the day. Their responses wait until the survey has 5 and then go out the day after, in random order.
  • The PDF draws Latin, Cyrillic, Greek, Arabic (shaped and right to left) and Hindi text. A response with Chinese, Japanese, Korean, Hebrew or Thai text gets no PDF: the activity log says why, and the spreadsheet row carries the exact text.

If something goes wrong

  • Reconnect needed: the sign-in expired or was revoked, for example after a password change or a policy. Choose Reconnect, then Retry the failed deliveries in Recent activity.
  • Access wasn’t granted: your tenant requires admin consent. Ask an administrator to approve wrkflow, then connect again.
  • Microsoft responded 403: the connected account can’t edit that folder any more. Share the folder with it, or choose another folder.
  • The responses workbook was moved or deleted: nothing to do, wrkflow creates a new one on the next try.
