Save responses to Google Drive and Sheets
Connect a Google account so each response is saved as a PDF and a row in a Google Sheet.
On the Team plan and above, an admin connects one Google account for the organization. Each survey then creates a Drive folder, and each response is saved there as a PDF and added as a row to a Google Sheet, as the survey chooses. Files respondents uploaded go into an Uploaded files folder beside them.
Before you start
- A Google account that will own the folders wrkflow creates. You can move or share them in Drive afterwards.
- The Team plan or higher, and the Google integration set up on this server. If the page says Not configured on this server, whoever runs wrkflow needs to register it first.
- Some Workspace organizations block apps they haven’t trusted. If yours does, an administrator allows wrkflow in the Admin console (Security, API controls) first.
wrkflow asks Google for openid, email and profile, to show which account is connected, and for drive.file. With drive.file wrkflow sees and edits only the folders and files it creates, which is why you create a folder instead of choosing an existing one. A deployment set up for one Workspace organization may ask for full Drive access instead, and the consent screen says so.
Set up
- Open Integrations, then Google Workspace, and choose Connect Google Workspace. Sign in with the account that should own the response folders.
- Open a survey’s Settings and find Save responses. Create a Drive folder for the survey’s responses.
- Check that the destination is on. Each survey turns its own destination on.
- Submit a test response and check that the PDF and the sheet row appear.
What leaves wrkflow
- Each survey chooses what to save: the PDF, the spreadsheet row, and uploaded files. Only new responses are sent unless you tick Also send the responses already collected when you turn the destination on.
- Answers to sensitive questions are withheld and read “Hidden: sensitive”. Personal data in written answers, such as email addresses and phone numbers, is always masked.
- Named surveys include the participant’s details and attributes, as an export does.
- Anonymous surveys send no names, details, hidden fields or file names, and only the day. Their responses wait until the survey has 5 and then go out the day after, in random order.
- The PDF draws Latin, Cyrillic, Greek, Arabic (shaped and right to left) and Hindi text. A response with Chinese, Japanese, Korean, Hebrew or Thai text gets no PDF: the activity log says why, and the spreadsheet row carries the exact text.
If something goes wrong
- Reconnect needed: access was revoked or expired. While a deployment’s Google app is still in testing, access expires after 7 days. Choose Reconnect, then Retry the failed deliveries.
- Access wasn’t granted: your Workspace admin may block unverified apps. Ask them to trust wrkflow, then connect again.
- Google responded 404: the folder was deleted or wrkflow lost access to it. Create a new folder in the survey’s settings.
- The responses spreadsheet was moved or deleted: nothing to do, wrkflow creates a new one on the next try.
Disconnecting revokes the grant at Google. See Integrations for the statuses and how to ask support.
