Send answers to HubSpot

Connect HubSpot so a named survey updates the contact’s properties and adds a note with the answers.

On the Team plan and above, an admin connects one HubSpot account for the organization. For named surveys, each response finds or creates the contact by email, updates the properties you mapped to questions, and adds a note with the answers.

Anonymous surveys can never send responses to a CRM, because that would tie answers to a person.

Before you start

  • A HubSpot user who can edit contacts and install apps.
  • The Team plan or higher, and the HubSpot integration set up on this server.

wrkflow asks HubSpot for the oauth, crm.objects.contacts.read, crm.objects.contacts.write and crm.schemas.contacts.read scopes.

Set up

  1. Open Integrations, then HubSpot, and choose Connect HubSpot. Sign in and choose the account to install wrkflow in.
  2. Open a named survey’s Settings and find Save responses. Choose Set up for HubSpot and map questions to contact properties.
  3. Check that the destination is on, then submit a test response and look for the contact and its note.

What leaves wrkflow

  • The contact is found by the participant’s email, or, for a public link, the email question you choose.
  • Mapped properties are updated with what you map: answers, and also the participant’s name and email, attributes, hidden fields, the survey title, the date and the response id. A blank answer never erases a property. The contact’s first and last name are set from the participant’s name each time, replacing what HubSpot has.
  • With Log the answers on, which is the default, the note carries every answer that isn’t sensitive, not only the mapped ones, plus a link to the results page.
  • Sensitive questions never fill a property and read “Hidden: sensitive” in the note. Personal data in written answers is masked.

If something goes wrong

  • Reconnect needed: the app was uninstalled or access was revoked. Choose Reconnect, then Retry the failed deliveries.
  • HubSpot responded 400, Property values were not valid: a mapped property expects a different format, such as a date, a number or one of its options. Change the mapping in the survey’s settings.
