Send answers to Salesforce
Connect Salesforce so a named survey updates the Lead or Contact and logs the answers as a Task.
On the Team plan and above, an admin connects one Salesforce user for the organization. For named surveys, each response finds a record of the object you choose, Lead or Contact, by email, or creates one in that object. It updates the fields you mapped and logs the answers as a completed Task.
Before you start
- A Salesforce user who can create and edit Leads, Contacts and Tasks, and edit the fields you map. Fields appear in the mapping when that user can edit them (field-level security).
- The Team plan or higher, and the Salesforce integration set up on this server.
- If your org restricts connected apps, an administrator allows wrkflow, and relaxes IP restrictions for it: the addresses wrkflow connects from change.
wrkflow asks Salesforce for the api, refresh_token and id OAuth scopes.
Set up
- Open Integrations, then Salesforce, and choose Connect Salesforce. Sign in as the Salesforce user wrkflow should act as.
- Open a named survey’s Settings and find Save responses. Choose Set up for Salesforce and map questions to fields. A new Lead needs a Last Name and a Company: wrkflow fills Last Name from the participant, and Company from your default or a mapped value, otherwise Unknown.
- Check that the destination is on, then submit a test response and look for the Lead or Contact and its Task.
What leaves wrkflow
- The record is found by the participant’s email, or, for a public link, the email question you choose.
- Mapped fields are updated with what you map: answers, and also the participant’s name and email, attributes, hidden fields, the survey title, the date and the response id. A blank answer never erases a field.
- With Log the answers on, which is the default, the Task carries every answer that isn’t sensitive, not only the mapped ones, plus a link to the results page.
- Sensitive questions never fill a field and read “Hidden: sensitive” in the Task. Personal data in written answers is masked.
If something goes wrong
- Reconnect needed: the refresh token was revoked, or your session policy ended it. Choose Reconnect, then Retry the failed deliveries.
- Salesforce responded 400, Required fields are missing: a field your Salesforce org requires has no value. Map a question to it, or make it optional in Salesforce. wrkflow already fills Last Name, and for Leads Company.
- Salesforce responded 400, Use one of these records: a duplicate rule blocked the new record. Relax the rule for the integration user, or map to Contacts that already exist.
