Unsubscribes, bounces and the Not emailed list

Who wrkflow stops emailing or texting, why, and how an admin can take someone off the list.

Every survey invitation and reminder has an Unsubscribe link in its footer, and an unsubscribe button that Gmail, Outlook and other inboxes show next to the sender. Choosing it stops survey emails from your organization to that address. Links the person already has keep working, and they can subscribe again from the same page if it was a mistake.

What puts someone on the list

  • Unsubscribed: they used the link or their inbox's unsubscribe button.
  • Bounced: the address doesn't exist or refuses mail for good. Temporary bounces, such as a full mailbox, are tried again later instead: after an hour, then two hours, then the send gives up for that person.
  • Marked as spam: they reported a survey email as spam.
  • Replied STOP: they replied STOP to a text. Replying START takes them off again.

What happens to sends

Sends and reminders skip people on the list and record why. On a survey's Participants tab they're left out of Not emailed and Waiting, listed under Can't email with the reason, and counted in a note under the progress bar. Automatic reminders leave them out too.

Seeing and changing the list

  1. Open Contacts, then Not emailed, to see everyone on the list with the reason, the date and where it came from. On the People tab, Not emailed or texted shows the same people among your contacts.
  2. Admins can choose Remove next to a person. wrkflow asks first and says what's at stake: email to an address that bounced will probably bounce again, and repeated bounces or spam complaints can send your organization's survey emails to spam for everyone.
Unsubscribing covers survey emails from your organization only. Emails about members' own accounts, such as invitations to join, alerts and password resets, still arrive.
